Challenge:
The Global Workplace Solutions group at Monsanto requested Arcturis propose and implement improvements in both the accuracy and ease of management of their Computer Aided Facilities Management (CAFM) system -VisionFM, while also looking for process improvements to streamline day to day operations going forward.
Solution:
Arcturis assembled a team of Facilities and Technology Associates to research and understand the business needs of the Global Workplace Solutions Group. Following this assessment the team was able to propose and implement both process and system changes to meet those needs.
Arcturis Field Verified all 2.7 million sq. ft. of Monsanto property in the St. Louis area. The data was updated and all drawings catalogued into VisionFM.
On-going Building Walk-Thru Schedules and a Remaining Square Footage Checklist report were developed to maintain the level of accuracy going forward. Arcturis implemented Preventative Maintenance Reporting to allow the group to be pro-active in finding discrepancies in the system vs. being reactionary when report findings are said to be incorrect.
Benefit:
Arcturis’ evaluation revealed that considerable time was being wasted re-entering data into VisionFM that already exists in other systems on the Monsanto Campus. Arcturis collaborated with Monsanto IT to automate a daily feed from the company wide Identity Manager System (IDM) into VisionFM. At the same time, we began providing employee location information from VisionFM back to the IDM system to filter through to HRSAP, Outlook, and the Monsanto Intranet. Getting all of Monsanto’s key information systems integrated allows for quicker, more accurate access to facilities information.
In addition to the time savings and data accuracy that was achieved through automating the process, Employee Location Accuracy was increased by 48%, which directly benefits many groups across the company including Safety, the Mailroom, and the Telecom group.
The Arcturis Team continues to work in collaboration with the Monsanto Global Workplace Solutions Group to maintain system accuracy and ease of use and to maximize the benefits of the information throughout the organization.
